Purpose of the Position:

The purpose of this post is to perform mainly procurement activities related to processing procurement requests and performing various procurement administrative tasks.

Objectives of the Programme:

UNICC provides the digital foundations that support the digital transformation and future of the UN system and other international organizations.

Main duties and responsibilities:

The incumbent will work under the direct supervision and guidance of the Chief, Procurement Section (MSP) within the Management and Strategy Division (MS) and in close collaboration with the Procurement Section team members. The incumbent will perform the following duties:

  • Prepare supporting documents and submit procurement requests and ensure compliance with established procurement rules and regulations
  • Coordinate with the requesting units for the timely submission of procurement requests
  • Coordinate with vendors to support the Procurement team in obtaining quotes and proposals
  • Assist Procurement team in preparation and publishing tenders
  • Maintain an up-to-date list of suppliers and contractors
  • Organize and file procurement documents in the respective folders
  • Participate in activities related to the selection of consultant
  • Create supplier accounts and procurement requisitions in the ERP system
  • Carry out standard operations required for authorizing and effectuating expenditures which includes making calculations, checking supporting justifying documents and making payments
  • Brief and assist newly arrived staff, consultants and interns on basic procurement procedures and requirements
  • Assist in the activities related to VAT claim
  • Participate in projects related to improvement of systems related to performance of work
  • Other: Provide other ad hoc support either within the team or in other teams as required – this includes the participation in special projects or support to service delivery for short period of time on a part-time or full time basis upon request from the senior management

Recruitment Profile

Experience and Skills required:

Essential:

  • Three (3) years relevant working experience in procurement, administration or related field, preferably in an international organization
  • Good computer skills. Proficient in Microsoft Office (Excel, Word, and Outlook)
  • Working knowledge of ERP Systems such as Oracle or Dynamics

Desirable:

  • Knowledge of procurement rules and regulations of International Organizations

Education:

Essential:

  • Completion of secondary commercial school with background in procurement, administration or related field

Desirable:

  • Any procurement training certification such as CIPS

Languages:

  • English: Expert knowledge is required
  • Knowledge of the local language of the Duty Station would be an advantage

Eligibility:

This vacancy is open to UNICC staff only.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.

Compensation:

Annual Salary Estimation (net of tax at single rate):

  • Brindisi, Italy: EUR 29,148
  • Rome, Italy: EUR 39,039
  • Valencia, Spain: EUR 39,087
